Building Software Training Into a Tool for Better Decision-Making

Helping a national retail organization to transform software training from a system tutorial into a practical learning experience that improved adoption, confidence, and operational decision-making.

The Challenge

A national tire retailer needed to update training for a redesigned inventory management software system.

While an existing training course was available, it primarily focused on system functionality and needed to be transformed to better support employees using the software in their daily work.

The challenge was that the training was not mandatory. Employees were already experiencing some resistance to adopting the updated system, creating a need for a learning experience that did more than explain features and processes.

The organization needed custom training that would:

  • Increase adoption of the updated inventory management system

  • Build employee confidence using the software

  • Help employees understand the connection between inventory decisions and customer service

  • Reduce frustration during the transition

  • Provide practical guidance employees could immediately apply on the job

The goal was not simply to teach employees where to click. It was to help them understand how effective use of the system could support better decisions, improved operations, and stronger customer experiences.

The Solution

Idea Learning partnered with the organization’s subject matter experts to redesign existing software training into a more engaging, learner-centered experience.

Rather than creating another software walkthrough, the team focused on what employees actually needed to understand and do to be successful.

Through collaboration and discovery, Idea Learning identified the key behaviors learners needed to develop:

  • Understand how inventory decisions impact the business

  • Recognize the relationship between time, cost, and inventory accuracy

  • Confidently navigate the updated software system

  • Use the system to identify and solve inventory challenges

The redesigned eLearning experience used a narrative-based approach that placed employees in realistic workplace situations.

The Approach

The project began by looking beyond the software itself to understand the work employees were trying to accomplish.

Idea Learning collaborated with leaders and subject matter experts to identify where employees struggled, what decisions they needed to make, and how the system supported their day-to-day responsibilities.

From those insights, the team redesigned the training around real workplace scenarios and practical application.

The learning experience blended:

  • Story-driven scenarios

  • Realistic workplace challenges

  • Guided software demonstrations

  • Business context and decision-making examples

  • Practical application of system features

Results

The redesigned eLearning experience transformed software training from a feature-focused tutorial into a practical tool for improving employee performance.

The organization gained:

  • Increased understanding of why the software matters

  • Stronger connection between system use and business outcomes

  • Improved confidence navigating the updated system

  • Greater focus on solving real inventory challenges

  • A learning experience designed around employee needs rather than software functionality

Why It Worked

Many software training programs focus on teaching people how to use a tool.

This project focused on helping employees understand why the tool mattered and how it supported the work they were responsible for doing.

By connecting technology to real decisions, workplace challenges, and business outcomes, the training helped employees move beyond software adoption and toward stronger performance.

"I actually feel like when I tell them things, they really listen. They really get it. They asked the right questions. They were truly trying to get at what the learner needed to know and determine how best to teach the material."
